Contracts

Employment contracts, supplier agreements, NDAs, freelancer terms — all managed in one place. Each contract is linked to the person or entity it belongs to. You see start dates, end dates, renewal terms, and notice periods at a glance. Workplace sends alerts before contracts expire so you never miss a renewal deadline.

Contracts are not just stored — they are structured. You can ask "which contracts expire in Q2?" or "show me all fixed-term contracts" and get an answer instantly. The data was extracted when the contract was uploaded (thanks to the Pro plan's recognition engine), and it stays queryable forever.

Secure Notes

Some information does not belong in a document. Alarm codes, Wi-Fi passwords, recovery keys, bank PINs, server credentials — sensitive bits of text that need to be accessible to the right people and invisible to everyone else. Secure Notes handles this with zero-knowledge encryption.

Notes are encrypted on your device before they reach our servers. We cannot read them. Press and hold to reveal a note for 10 seconds, then it hides again. Share a note with a team member and they see it with the same press-and-hold mechanism. Simple, secure, and practical for the kind of information every business has but no tool handles well.

Time Off

Leave requests, approvals, and balances for your entire team. Employees request time off, managers approve or decline, and Workplace keeps the balance updated automatically. It knows EU public holidays for every member state, so Croatian employees see Croatian holidays and Austrian employees see Austrian holidays — in the same company.

The system flags conflicts. If two people on the same team request the same week, you see it before approving. If someone requests time off but their contract says they have no days left, you see that too. The approvals are fast — one tap from the manager, done.

Asset Tracking

Laptops, phones, monitors, furniture, software licenses, company cars — track who has what, when it was assigned, what the warranty status is, and where the purchase receipt is stored. When an employee leaves, you know exactly which assets need to come back.

Assets link to people and documents. The laptop's purchase invoice, warranty certificate, and assignment history are all connected. Ask "which laptops have warranties expiring this quarter?" and you get a list with names, dates, and linked documents. No spreadsheet can do that.

Payroll Prep

Workplace does not process payroll — your accountant does. But Workplace prepares everything your accountant needs. Time off balances, working days, contract terms, overtime, benefits — compiled into a clean export that your accountant can import directly into their payroll system.

Instead of spending half a day every month gathering data from three different places to send to your accountant, you click export and send one file. The data is already accurate because it comes from the same system that tracks time off, contracts, and team structure. No manual reconciliation.

EU Compliance

GDPR data processing records, employee data retention policies, cross-border data transfer documentation, right-to-erasure workflows — the compliance tools that EU regulations require but nobody wants to build manually. Workplace generates and maintains these records automatically based on the data already in the system.

When an employee exercises their right to access their data, you can generate a complete export in minutes. When someone leaves and their retention period expires, Workplace flags the data for deletion. The compliance work happens in the background because the system already has all the information it needs.
